About Peavy Lodge

What is the venue capacity?

Our maximum capacity is 50 people. Meetings, conferences, and retreats can be hosted inside in the main room, and there is a back room for check-in, catering, etc. The 2,200 square-foot deck can also be used for indoor-outdoor events.

There are two main parking lots — the upper Woodland Parking Lot and the lower Lodge Parking Lot in front of the lodge — as well as two accessible parking spots and vendor parking right next to the venue.

What are the venue hours?

Peavy Lodge can be rented Monday-Friday for business events (meetings, conferences, workshops, and retreats). The rental period is 6:00 a.m. - 10:00 p.m. You may access the venue as early as 6:00 a.m. The venue will need to be vacated — and all post-event clean-up will need to be completed — before 10:00 p.m.

At this time, we are only able to rent the venue on weekdays, and we can only offer full-day rental rates.

What is included with rental and use of the facility?

The Peavy Lodge rental rate includes 30” x 60” rolling classroom tables, black folding chairs, and full use of the venue, including the kitchen and deck. You are welcome to place the tables and chairs in any configuration you like, as long as no exits are blocked.

What are the kitchen amenities?

The kitchen is a small catering kitchen with a refrigerator, sink, counter, coffee maker, and microwave. The venue does not have ovens, but there is a place for catering to plug in warming ovens.

What technology and audio-visual equipment are available?

The venue has Wi-Fi, indoor-outdoor speakers that connect via Bluetooth, a projector and screen, and an HDMI and USB-C converter cable. If you plan to use these services, you’ll need to bring your own laptop. If you are hosting a meeting with remote attendees, a conference camera and speaker are available to rent for an additional fee.

Will staff be present on-site during the event?

There are no staff on-site for events. An emergency number will be noted in your contract.

What are my options for catering and alcohol service?

Events hosted at Peavy Lodge can be self-catered, or you may select a professional catering service of your choice. If you are not serving food or bringing your own food (self-catered) alcohol is not permitted to be served.

If you are serving alcohol, Oregon State University requires servers to be licensed and insured. In line with OSU policy, alcohol service cannot begin before 5:00 p.m. on weekdays, and only beer, wine, and cider may be served. We are happy to recommend caterers with whom we have worked before and will provide instructions for receiving alcohol service approval, to be completed 3-4 weeks in advance of your event.

What should I know about holding my event in Peavy Arboretum?

Please ensure that any activities on the trails are conducted with care and respect for plants, wildlife, and fellow forest visitors.

All renters and guests at Peavy Lodge are required to follow OSU Research Forest Rules. Recreational restrictions include but are not limited to: spreading and/or throwing seeds, planting vegetation, and/or releasing species.

NO SMOKING: Peavy Lodge and Arboretum are OSU property; therefore, smoking is not allowed at the event, venue, or on the grounds.

The following rules apply to ALL facilities, roads, trails, parking areas, and lands in Peavy Arboretum and help reduce the risk of forest fires:

  • No smoking or vaping (even in parking areas and parked cars).

  • No campfires or party fires.

  • No fireworks, sparklers, or anything that produces a flame.

If you see a fire while out in the forest, CALL 911.

Is my group responsible for any cleaning after the event?

You will need to clear the venue of any items that you brought with you and bring any furniture that was moved outside back indoors. We also ask that all food items are removed from the kitchen, all refuse (especially food waste) is taken to the outdoor trash bin to avoid interest from critters, and all doors are locked when you leave.

We will take care of resetting and cleaning the building, but we do ask that you leave the space as tidy and well-kept as you found it.

How do I check availability and make a reservation?

How far in advance should I book my date?

It’s never too early to reach out and start planning! We generally recommend reaching out at least 5-6 weeks before your event date. If you are planning for catering and alcohol service, please plan to add an additional 2-3 weeks to your timeline to allow for approval and clearance by OSU Risk Management.

In general, we are not able to accommodate reservations for events that are less than three week’s away from the date of inquiry.
